All inboxes above are actively monitored. Response times for non-urgent matters: 1–3 business days. Security reports are acknowledged within 3 business days.

4. Service Description

Smailor is a shared inbox and customer email infrastructure service. It enables businesses and teams to receive, route, and reply to customer email using their own custom domains.

Core features include: shared inboxes, team assignment and per-route member access, routing and automation rules, email templates and signatures, custom domain email (inbound and outbound), mail client access over POP3 and SMTP, optional email open tracking and inbound remote-content controls, spam, phishing, and link-safety filtering, optional AI-assisted triage, drafting, translation, classification, and attention features, an embeddable contact widget, calendar integration over CalDAV or OAuth, a Gmail integration, a Discord integration, a REST API and webhooks, mobile applications, an affiliate program, and the Smailor marketplace. The marketplace lets buyers subscribe to an email address on a domain controlled by an independent seller; it does not transfer ownership of the domain.

Smailor is intended for business and professional use. It is not a bulk email service provider, an anonymous mail service, or a general mail relay, and it is not designed for safety-critical or emergency use.

Use of the service is subject to our Terms of Service and Acceptable Use Policy. Marketplace sellers must also accept the Seller Agreement; affiliates must accept the Affiliate Terms.

Marketplace and subscription payments are processed by Mollie B.V. under its own terms and privacy notice. Smailor does not store full payment-card or seller bank-account details.

5. Technical Standards & Email Authentication

Smailor operates a standards-compliant email infrastructure:

• SPF — outbound mail uses SPF-delegated sending for your custom domain
• DKIM — all outbound mail is signed with RSA-2048 DKIM keys
• DMARC — DMARC enforcement is supported and encouraged for all custom domains
• TLS — all web traffic uses TLS 1.2+; mail transport uses implicit TLS or STARTTLS depending on the port and the remote server's support
• BIMI — Brand Indicators for Message Identification are supported for verified domains
• Mail client access — POP3 for retrieval and SMTP for submission, on the documented ports, over TLS

We process personal data in accordance with the General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679) and applicable French data protection law (Loi Informatique et Libertés).

We are not required to appoint a Data Protection Officer, and have not appointed one. Privacy requests are handled at the address above.

Certain limited processing involves providers outside the EEA — in particular CDN and bot protection, transactional email delivery, and link and sender reputation checks. These, and the transfer safeguards that apply, are identified in our Privacy Policy and Sub-processor list.

7. Intellectual Property

All content available on smailor.com (including text, graphics, logos, software, and design) is protected by applicable intellectual property laws and remains the property of Victor ANDRE EI or its licensors.

Customer content (emails, templates, contacts) remains the property of the customer. Smailor is granted a limited license to process and store it solely for the purpose of providing the service. See Terms of Service §16 for details.

Reproduction, distribution, or modification of Smailor's proprietary content without prior written authorization is prohibited. To report infringement, or to contest a removal, see the Copyright Policy.

8. Limitation of Liability

We make reasonable efforts to ensure the accuracy and availability of the service. However, to the extent permitted by law, Smailor shall not be held liable for:

• Indirect or consequential damages arising from use of the service
• Interruptions or unavailability of the service beyond our reasonable control
• Non-delivery, delay, or filtering of email, which depends on third-party networks and recipients
• Reliance on AI-assisted output, risk labels, or link warnings, which are suggestions and not guarantees
• Loss of data resulting from deletion you performed, force majeure events, or user error

Limitation of liability is governed in full by Terms of Service §23.
